a4 media is looking for a strong department/business coordinator who will act as a key connector in the day to day business and senior executive administrative operations. This role will report to the EVP/President of a4 media and be based in the company headquarters in Long Island City (Queens). This role will serve as the department glue for day to day support and provide executive support on projects and administration. The ideal candidate is highly organized, a problem solver and has strong written and verbal communication skills as they interface both internally and externally. Responsibilities for this role includes but is not limited to: Serve as the point of contact between the executives and external clients and internal leadership/employees. Create and edit presentations and meeting related documents for internal/external meetings and plan on-site/off-site meetings, as well as special events as needed Primary lead for department related coordination such as ordering supplies, partnering with the real estate team, greeting guests, etc Partner with the leadership team and marketing on internal webinars, employee wide virtual events, sales events, and more. Along with handling distribution of executive company-wide communications. Coordinate executive schedules and calendars with accuracy and efficiency using Microsoft outlook, e-mail, phone, and other tools as needed Schedule meetings, reserve conference rooms, coordinate virtual meetings Coordinate external meetings, travel/expense related administration, meeting agenda communication, prep material, etc. Assist with various project requests focused on sales, research, and ad hoc requests Arrange domestic and international travel for senior executives Book catering as needed for internal/external meetings Maintain accurate and timely expense accounts and prepare financial related materials for investment related approvals Support the development of building a strong workplace culture with a focus on teamwork, collaboration, responsiveness and fun. Also help coordinate team building/social events. High school diploma required. Bachelor?s degree preferred. 3+ year of administrative experience, preferably in a sales or media environment and providing senior executive level support Experience efficiently handling complex administrative tasks and supporting a dispersed/virtual organization Passion and interest to grow career within a fast paced advertising/media company Self-starter who takes initiative, is able to anticipate needs before they arise and resolve issues quickly Extremely organized, strong attention to detail and work efficiently in a very fast paced environment. Perform department business while maintaining strict confidentiality Prioritize and manage several projects Excellent time-management and multi-tasking skills Excellent project management skills Must have strong proficiency in Microsoft Office, Excel, Word and PowerPoint and virtual meeting software (ie: Blue Jeans, Skype, Webex, or equivalent) Excellent verbal and written communication skills are required, as well as the ability to interact with all levels of management.
